Rotapp ("we", "our", or "us") provides scheduling and rota management tools for employers and employees. This Privacy Policy explains how we collect, use, and protect your information when you use the Rotapp mobile application and related services.

Information We Collect

• Account information such as name, email address, and role (employer or employee)
• Work-related data entered into the app (e.g. shifts, schedules, availability, requests)
• Basic technical data such as device type, app version, and IP address (used for security)
• Subscription status (active/inactive). We do not store payment card details

How We Use Information

We use your information to:

• Provide and operate the Rotapp service
• Authenticate users and manage access
• Manage subscriptions and entitlements
• Improve reliability, performance, and security
• Respond to support requests
• Send essential emails (e.g. password reset / account-related messages)

Billing & Payments

Subscriptions are handled by platform providers such as Google Play and the Apple App Store. We do not store payment card details and receive only subscription status information.

Third-Party Services

We use trusted third-party services strictly to operate the app. Examples include:

• Hosting providers (to run our servers and store data securely)
• Push notification providers (Firebase Cloud Messaging) to deliver important notifications
• Email delivery providers (Resend) to send essential emails such as password reset links

These providers process data only as needed to provide their services to us and are subject to confidentiality and data protection obligations.

Data Retention

We retain personal data only as long as necessary to provide the service or meet legal obligations. Employers control the work data of their organization.

Account Deletion

You can delete your account at any time directly from within the Rotapp mobile app.

When you choose “Delete my account”:

• Your user account is permanently deleted
• Your employee profile is deleted
• All shifts and work data associated with your account are deleted

This action is permanent and cannot be undone. After deletion, you will be logged out and your data will no longer be accessible.

Your Rights

You have the right to access, correct, export, or delete your personal data.

Security

We implement reasonable technical and organizational measures to protect data from unauthorized access, loss, or misuse.

Data transmitted between your device and our services is protected using encryption in transit (HTTPS/TLS).
